Product Creation
Product Creation reads MYOB inventory items you’ve tagged for it, and builds matching Shopify products — as drafts or live, your choice. It’s a one-time catalogue bootstrap, not an ongoing sync: once a product exists in Shopify, Stock Sync and Price Sync take over its quantity and price from there.
Tagging items in MYOB
Section titled “Tagging items in MYOB”Before anything runs, every item you want created needs to be set up correctly in MYOB:
| MYOB field | What it becomes in Shopify |
|---|---|
| Item Number | Variant SKU — must be unique |
| Item Name | Product title (the part after “ - “ is stripped, e.g. Merino Crew - Red - S → Merino Crew) |
| Custom Field 1, 2, or 3 | Group key — items sharing the same value in this field become variants of one product |
| Custom List 1 | Option 1 value (e.g. Red, Blue) |
| Custom List 2 | Option 2 value (e.g. S, M, L) |
| Custom List 3 | Option 3 value (optional) |
A few things worth getting right the first time:
- The group key is a shared code, not a link between items — every variant of the same product needs the same value in whichever Custom Field you’ve chosen as the group key.
- For a single-variant product (no options), leave that Custom Field empty and skip the Custom Lists.
- Shopify allows at most 3 options per product, matching Custom Lists 1–3.
- Items must be active in MYOB — inactive items are skipped entirely.
- Keep Custom List values consistent across a group — if one variant has a value for an option, all of them should.
Product Mapping
Section titled “Product Mapping”Configured once, before running Analyze:
- Group items into one product by — which Custom Field (1, 2, or 3) is the group key
- Only include items that have — a filter so Analyze only scans items with a SKU (or Custom Field) set
- Shopify product title from — item name with options stripped (default), or the raw item name
- Create products as — Draft (default, review before publishing) or Active
- Option names — what to call each Custom List on the Shopify product (e.g. “Colour”, “Size”)
- Tags, vendor, product type — optional, sourced from fixed text, the item name, or a Custom Field. A fixed
insyncer-artag is always added so created products are identifiable later. - Location — use the locations already set up on Stock Sync’s location mapping (default), or assign specific Shopify locations manually
Analyze
Section titled “Analyze”Analyze scans the matching MYOB items and sorts every group into one of three outcomes:
| Outcome | Meaning |
|---|---|
| Ready | No issues — every SKU in the group is new. Selected for creation by default. |
| Needs attention | Something needs fixing in MYOB first — see below |
| Already in Shopify | Every SKU in the group already exists as a Shopify variant. Not created again, and not shown as a row to action. |
“Needs attention” covers a few specific problems, always fixed in MYOB rather than in the app:
- an item in the group has no Item Number
- an option axis is used by some variants in the group but not others (a missing Custom List value)
- variants in the group don’t agree on how many options are filled in
- only some SKUs in the group already exist in Shopify — the rest are new (needs a decision before creating)
Re-running Analyze after a MYOB fix picks up the change. You can choose to keep any per-product edits made since the last Analyze, or start fresh and discard them.
Creating products
Section titled “Creating products”From the Ready list, select what to create — individually or in bulk — and confirm. Creating is final from that screen: removing a product afterward means deleting it in Shopify Admin.
What gets set on each new product:
- Title, tags (including
insyncer-ar), vendor/type (if configured), Draft/Active status, and up to 3 options - Each variant’s SKU (MYOB item number) and price (MYOB’s base selling price, as read during Analyze)
- Photos, when the MYOB item has one attached — identical images shared across variants are uploaded once
- Locations, activated at zero stock — Stock Sync fills in real quantities on its next run
Not set by Product Creation at all: description, collections, SEO fields, or metafields. Add those yourself, or through your usual Shopify tooling.
The last 100 Product Creation runs are kept, each showing when it ran, its status, Draft/Active setting, and a created/failed/skipped summary. Open a run to see the per-product detail, or download a CSV of failures to work through in bulk.
